Why I Collect and Use Information:
I collect and use personal information so that I can:

  • Respond to enquiries
  • Arrange and provide tutoring and practice tests
  • Tailor support to a child’s individual needs

I only collect information that is reasonably necessary for these purposes.
Under UK data protection law, I collect and use information because it is necessary to provide the services you have requested, to run my tutoring business, to meet legal obligations such as tax and safeguarding requirements, and, where required, with your consent.

Children and Sensitive Information:
My services are provided to children, but arrangements are made with parents or carers. Parents and carers are responsible for providing accurate information about themselves and their child. Where consent is required, I will normally seek it from the parent or carer. Parents, carers or children may choose to share sensitive information that is relevant to a child’s learning, wellbeing or educational needs. This may include information about SEND, health needs, ethnicity, religious beliefs or other matters relevant to supporting the child. I may also become aware of sensitive information incidentally during the course of providing my services.
I will only collect, use and retain this information where it is reasonably necessary to provide educational support, fulfil safeguarding responsibilities, or comply with legal obligations.

Online Tuition, Payments and Postal Services:
Where online tuition is provided, I may use platforms such as Zoom, Skype or Microsoft Teams. These providers may process personal information as part of delivering their services and have their own privacy policies.
Payments are currently made by bank transfer. I keep payment and invoice records as required for business, accounting and tax purposes.
Where practice test papers, feedback or other educational materials are returned by post, I may use the postal address provided by a parent or carer.
I take reasonable steps to protect personal information when storing records and sending documents. This includes checking address details before posting items and using sealed packaging where appropriate.

Sharing Information:
I treat personal information confidentially and do not sell personal information.
Information may be shared where necessary with professional advisers, service providers who help me operate my business, or safeguarding and legal authorities where required by law.

Safeguarding:
The welfare of children is a priority.
Information may be shared without consent where there is a safeguarding concern, risk of harm, or a legal obligation to do so.

How Long I Keep Information:
I only keep information for as long as reasonably necessary, after which time I will securely delete it.
I keep student progress records, assessment records, summary feedback and session notes for up to 1 year after the final lesson or test to allow for follow-up queries or references.
Contact information is also kept for up to 1 year after our last communication.
Where relevant educational documents (such as EHCPs or SEN reports) are provided, these are kept for up to 6 months after the final lesson.
Financial records, including invoices, receipts and payment records, are retained for up to 6 years after the end of the relevant tax year, as required by law.
If you make an enquiry but do not book tutoring, I will delete your details no later than 6 months after our last communication.
Safeguarding records may be retained for longer where necessary to comply with legal obligations or safeguarding responsibilities.

Under UK data protection law, you may have the right to:

  • Request access to personal information held about you
  • Request correction of inaccurate information
  • Request deletion of information in certain circumstances
  • Object to or restrict certain uses of information
  • Withdraw consent where consent has been relied upon
